OVERVIEW
The Billing Specialist is accountable for reconciling network invoices with the client's budget and helping the team submit invoices to the client on-time. This position is also responsible for building relationships with networks and reaching out to them to resolve invoicing issues, such as collecting missing invoices, identifying and resolving discrepancies between budgeted and actual invoices, and managing invoice-related inquiries.
KEY RESPONSIBILITIES
- Invoice Processing & Reconciliation
- Process a high volume of invoices from various media vendors
- Verify invoice accuracy by comparing them to media plans, insertion orders, and campaign performance reports
- Reconcile discrepancies between invoices and supporting documentation, investigating and resolving any differences
- Identify and resolve billing errors, such as incorrect rates, duplicate charges, or missing credits
- Create credit memos when needed
- Communication & Collaboration
- Maintain clear and consistent communication with media vendors and internal teams regarding invoice inquiries and discrepancies
- Collaborate with media planners to ensure timely receipt of all necessary supporting documentation for invoice reconciliation
- Escalate complex issues or unresolved discrepancies to the billing manager

- Maintain organized records of all invoices and supporting documentation
- Track and monitor invoice processing and reconciliation metrics, identifying trends and areas for improvement
- Assist in developing and implementing process improvements to enhance efficiency and accuracy
DESIRED SKILLS AND QUALIFICATIONS
- 2-3 years of work experience in billing
- Excellent written and verbal communication skills
- Excellent interpersonal and organizational skills
- Must be able to communicate effectively between all internal departments as well as with networks
- Strong customer service orientation and ability to successfully deal with network questions and resolve issues
- Deadline-oriented and able to manage deadlines both with clients and internal stakeholders
- Able to take direction well as well learn and follow internal processes
- Able to work autonomously and collectively in a fast-paced environment
- Intermediate skill level in MS Office (Excel and Outlook) and Adobe
- Takes ownership of assigned responsibilities
- Experience with NetSuite/Salesforce preferred but not required
